CRM
CRM and quoting platform used by many small and mid-sized B2B companies, where deals, quotes, and customer records start.
HubSpot is where most of the cycle begins for the firms we work with: leads are captured, deals are tracked, and quotes are built and sent. The deal record is supposed to be the single source of truth for what the customer agreed to buy.
The problem is what happens after the deal is marked won. HubSpot is not an accounting system, so the deal has to become an invoice in QuickBooks, Xero, or an ERP, and payment status has to flow back so sales can see who has paid. Without automation, both directions are manual.
We connect HubSpot deals and quotes to the accounting system so invoices are created automatically, bring payment and AR status back into HubSpot, and build collections workflows that use CRM context.

Most attempts to automate the order-to-revenue workflow fail because teams automate the wrong steps first, or automate one step without fixing what feeds it. Here is what actually breaks, and what a working OTR automation setup looks like.

Cold Email
Every reply from Smartlead, Instantly, or Gmass gets an AI-assigned category the moment it lands, interested leads go straight to the sales team, not-interested gets ignored, and everything else routes into a nurture sub-campaign automatically.

Data Sync
A new lead from an ad platform becomes a CRM record automatically, a new CRM customer becomes an invoice, and an audience list update propagates to LinkedIn Ads, all without a single manual export or copy-paste.
HubSpot has its own invoicing and connects to QuickBooks and Xero, but automating it reliably usually means mapping deal line items, customers, and tax to the ledger and triggering the invoice when the deal closes.
You can surface AR in HubSpot and run collections sequences from it, with or without an ERP behind it, as long as invoice and payment data syncs back reliably.
Customer and product mismatches. If the company name or product in HubSpot does not match QuickBooks exactly, syncs create duplicates or fail.
